Privacy Policy
DispatchDeck ("DispatchDeck", "we", "us") is an independent software product for freight dispatchers and the truck drivers they work with. This policy explains what information we collect, why, who we share it with and the choices you have. If you have questions, contact us at support@thedispatcher.us.
Who uses DispatchDeck
- Dispatchers use the Chrome extension to manage carriers, drivers, equipment and loads.
- Drivers are invited by their dispatcher and use the Driver App (driver.thedispatcher.us) to see their assigned loads.
- Brokers or customers may receive a tracking link from a dispatcher to follow a specific load.
Information we collect
Dispatcher accounts. Name, email address and password. Passwords are stored only as a secure one-way hash. We also send one-time verification and password-reset codes by email.
Information dispatchers enter. Carrier details (company name, MC/DOT numbers, contact information and documents), driver details (name, phone, email, license information and documents), trucks and trailers, broker and agent contacts, and load information (order numbers, pickup and delivery addresses and dates, rates, commodity, notes and files such as rate confirmations, bills of lading, proofs of delivery, invoices and load screenshots).
Driver App. Phone number and password (stored as a hash), load status updates, notes and documents the driver uploads, and the driver's GPS location while the Driver App is open and location permission is granted. Location is used to show progress and arrival estimates to the driver's dispatcher and, when the dispatcher shares one, on that load's tracking link.
Notifications. If a driver turns on notifications, their phone's push service gives us a technical delivery address so we can alert them when a new load is assigned. The message content is encrypted so only their device can read it.
Technical information. Our servers record IP addresses and timestamps to protect accounts (for example, to limit repeated login attempts) and to keep the service secure.
What the Chrome extension does not do
- It does not read the content of the web pages you visit, your browsing history or your cookies.
- Its toolbar is only loaded on a page when you click the DispatchDeck icon.
- It stores only your sign-in session in your browser so you stay logged in.
- It contains no advertising and no analytics or tracking tools.
Our website
Some pages of our public website, thedispatcher.us, use Google Analytics to understand how visitors use the site (for example, pages viewed, approximate location and device type). Google Analytics is not used in the Chrome extension or in the Driver App. You can opt out with the Google Analytics opt-out browser add-on.
How we use information
- To provide the service: manage loads, invite drivers, show drivers their assigned loads and send load alerts.
- To send service emails: account verification, password resets, driver invitations and carrier reassignment requests.
- To calculate routes, distances and addresses for loads.
- To keep the service secure and prevent abuse.
We do not sell your information, we do not use it for advertising, and we do not use it to determine creditworthiness or for lending purposes. Our use of information received through the Chrome extension complies with the Chrome Web Store User Data Policy, including its Limited Use requirements.
Who we share information with
- Within your account: a dispatcher sees the drivers and loads they manage; a driver sees only the loads assigned to them; a broker sees only the load they received a tracking link for.
- Service providers that run parts of the service for us: our hosting and email provider (Hostinger), Google Maps Platform (addresses and route distances), the FMCSA public database (MC/DOT number lookups) and the push notification services of Google, Apple and Mozilla (encrypted load alerts).
- Legal reasons: if required by law or to protect the rights and safety of our users.
How we protect information
- All connections use encryption (HTTPS).
- Passwords and sign-in sessions are stored only as secure hashes; signing out ends the session on our servers.
- Uploaded documents are never public: they open only through temporary links that expire.
- Each account can only access its own data.
How long we keep information
We keep account and load information while the account is active so dispatchers can keep their records. Sign-in sessions expire automatically (7 days for dispatchers, 30 days for drivers). You can ask us to delete your information at any time, and we will do so unless we must keep it for legal reasons.
Your choices and rights
- Ask for a copy of your information, or ask us to correct or delete it, by emailing support@thedispatcher.us.
- Drivers can turn off notifications and location access at any time in their phone settings, and can sign out to stop using the Driver App on that device.
- Dispatchers can remove the drivers and loads they manage from the extension.
Children
DispatchDeck is a business tool for adults and is not directed to anyone under 18.
Changes to this policy
If we change this policy we will update the effective date above, and for important changes we will let account holders know by email.
